Official Transcript Request Instructions
Please review information below before completing your transcript request to avoid delays in processing and/or extra charges.
Processing Time:
Midwestern Career College processes transcript requests Monday through Friday during published business hours. Transcript requests are not processed on weekends, holidays, and campus closure days. Transcripts are processed in the order they received by urgency; with urgent transcript requests processed first. Processing time does not include mailing time. Students should plan accordingly when placing time-sensitive orders.
Delivery address and recipient details:
Before submitting your transcript order, please review the delivery address and recipient details carefully. Once a transcript is released, it cannot be redirected.
If a previously sent transcript needs to be sent to a different recipient or address, a new transcript order must be placed, and additional transcript order charges will apply.
FERPA Release: All transcript orders requesting direct release to a third party (other than the student) must include a signed FERPA release.
Students requesting official transcripts for employment, academic credit transfer, professional certification, or other credential verification reasons should verify with the requesting party whether they require the transcripts to be sent directly from the college to be considered official. Generally, employers and educational institutions require transcripts to be sent directly from the college.
Direct Delivery to Students: Students requesting official transcripts for the above-mentioned reasons but choosing to have the transcript delivered to themselves instead of the requesting party should confirm their intent in the comments section of the order form.
Incomplete or conflicting information:
If the transcript request contains incomplete or conflicting information, the Registrar's Office will attempt to contact the student for clarification. If the student does not respond, the Registrar's Office will use professional judgment to decide whether the request can be completed or should be cancelled. If cancelled, the transcript fee will be refunded to the student. The Registrar's Office is not responsible for delays in processing or additional charges that may result from incomplete or conflicting information provided as part of the transcript request.
Outstanding Balance Hold:
Current or former students with an outstanding balance can receive official transcripts under certain circumstances. Students who have an outstanding balance should review the "Have an outstanding balance?" tab of this portal for available options.

Education Verification (EV) provides confirmation of a learner's enrollment in a program of study and verifies their current status in the program. This includes students name, program name, program type (certificate vs degree), enrollment date, target completion date (applicable for active students only), program exit date, credential awarded and date awarded.
By requesting to send the records to a third party on student's behalf, the student gives the college permission to release their records to the third party listed on the request.

Upon meeting graduation requirements outlined in the catalog, students are issued their graduation packet within 45 days from their program completion/graduate date. The Graduation Packet includes student Diploma/certificate(s), one copy of official transcript, and one copy of unofficial transcript will be mailed to the student’s address on file with the college unless prior arrangements have been made in advance by the student. It is the student responsibility to ensure that their correct mailing address is on file with the college at all times. Unconfirmed, incomplete or incorrect mailing addresses on file will result in mailing delays. Students who do not update the mailing address on file with the college prior to graduation packet being shipped will be charged a Diploma/Certificate replacement fee.
Graduation Packet includes the following documents:
Graduation Packet will not be released to students with an outstanding balance of $5.00 or more until the balance is resolved and the holds are cleared. Once the balance is paid and/or the hold is lifted, graduates can complete the Diploma/Certificate of Completion (COC) Request Form available on the Request/Order Certificate(s) tab to expedite the release of their Graduation Packet. The graduation packet will be released within 45 days from the day the balance was resolved and graduation requirements were paid to the address on file with the college.
Upon meeting graduation requirements outlined in the catalog, students are issued their diploma or certificate of completion (COC) within 45 days upon completion of class and the program with their graduation packet. Graduation Packet will not be released directly to students with an outstanding balance of $5.00 or more until the balance is resolved and the holds are cleared. If you are uncertain regarding the status of any holds like a balance on your account, please reach out to the Business Office today. If you do not have a balance and did not receive your diploma/COC, let us know by completing the Diploma/Certificate of Completion (COC) Request Form. Students are required to complete this form if:
Please be advised that the design, wording, and signatures on the replacement document will be processed with what is currently in use by the College and may be different from the ones printed on the original certificate.

If you are a current or former student with an outstanding balance of $5.00 or more owed to the college, you can request the following records:
Midwestern Career College will issue official transcript to a current or former student with an outstanding balance of $5.00 or more owed to the college if the request meets at least one of the criteria listed below:
a) Financial obligations have been met for the payment period(s).
Effective July 1, 2024, the college will provide a current or former student who owes a debt with official transcript that includes, at minimum, all the credit or clock hours for payment periods in which a student received Title IV funds and for which all institutional charges were paid or included in an agreement to pay at the time the request is made.
b) Official transcript is requested to complete a job application.
c) Official transcript is requested to facilitate transfer from one institution of higher education to another.
d) Official transcript is requested to apply for State, Federal, or institutional financial aid.
e) Official transcript is requested in connection with joining the United States Armed Forces or Illinois National Guard.
f) Official transcript is requested in connection with pursuing other postsecondary opportunities.
